Position Overview: The Event Manager will be responsible for overseeing the production and operational aspects of events. Key Responsibilities: Event Production Management: Oversee all aspects of event production, including technical setup, stage management, lighting, sound, and AV production. Ensure the seamless execution of event timelines and technical requirements. Coordinate with clients, vendors, and suppliers to ensure the timely delivery of all event equipment and materials. Operations Planning and Coordination: Develop and implement event production plans, including timelines, logistics, and staffing. Ensure that all logistical aspects of the event (venue setup, transportation, catering, etc.) are meticulously planned and executed. Oversee the transportation, installation, and dismantling of event setups, ensuring everything is done safely and efficiently. Vendor and Supplier Management: Identify and coordinate with external vendors and suppliers, including decorators, caterers, and AV providers. Negotiate contracts, ensure compliance with service agreements, and maintain strong working relationships with vendors. Monitor the performance of vendors and resolve any issues or discrepancies during the execution phase. Team Management: Lead and manage a team of production assistants, technicians, and support staff during events. Allocate tasks and responsibilities to ensure team members are effectively utilized. Ensure that the team adheres to safety protocols, quality standards, and timelines. Budget and Cost Control: Develop and manage production budgets for events, ensuring that costs are kept within the approved budget. Track and control event-related expenses, minimizing wastage while ensuring quality. Provide regular budget updates to senior management and ensure transparency in all financial dealings. Quality Control and Troubleshooting: Ensure that all event production processes meet company standards and client expectations. Identify potential issues and proactively troubleshoot to avoid delays or quality concerns during event execution. Provide on-site support during events to resolve any operational or production-related issues. Client Communication and Relationship Management: Maintain direct communication with clients to understand their needs and expectations. Update clients on event progress and ensure that their requirements are met. Act as the primary point of contact for clients regarding operational and production issues during events. Post-Event Evaluation: Conduct post-event evaluations to assess the success of the production and operations processes. Gather feedback from clients, vendors, and internal teams to identify areas for improvement. Prepare reports and share insights on the event execution process to improve future operations. Key Result Areas (KRAs): Event Production Success: Ensure all events are executed according to the planned production timelines, technical specifications, and client requirements. Goal: Achieve 100% client satisfaction on production and operational delivery. Vendor and Supplier Management: Maintain positive vendor relationships and ensure timely and cost-effective delivery of services. Goal: Maintain vendor performance and satisfaction at 90% or above. Budget Management: Deliver events within the agreed-upon budget, ensuring financial control and cost-efficiency. Goal: Ensure no more than 5% deviation from the event production budget. Team Efficiency and Productivity: Ensure the team is well-coordinated and tasks are completed on time with high-quality standards. Goal: Ensure 95% of the team meets deadlines and follows operational protocols. Key Performance Indicators (KPIs): Timely Event Delivery: Target: Ensure that all event setups, productions, and logistics are completed on time. Measurement: Percentage of events completed on schedule. Goal: Achieve 100% on-time delivery for all events. Budget Adherence: Target: Maintain tight control over event production costs. Measurement: Percentage of events delivered within the set budget. Goal: Ensure 90% of events remain within the allocated budget. Client Satisfaction: Target: Meet client expectations for event production quality and logistics. Measurement: Client feedback, surveys, and ratings. Goal: Achieve at least 90% positive feedback from clients. Team Performance: Target: Efficient coordination among the production team to ensure smooth operations. Measurement: Team performance reviews and task completion rates. Goal: Achieve at least 95% task completion rate with minimal supervision. Qualifications: Educational Qualifications: Bachelor’s degree in Event Management, Business Administration, Operations Management, or a related field. A Master’s degree or certifications in event production or operations management is a plus. Experience: Minimum 5 years of experience in event production, operations, or management, with at least 2 years in a leadership role. Proven experience in managing large-scale events, including corporate events, weddings, conferences, and social gatherings. Experience in vendor management, logistics, and budget control is highly preferred. Skills & Competencies: Strong leadership, organizational, and problem-solving skills.
